Japan is a dream destination for many travelers, thanks to its perfect blend of tradition and innovation. It’s no wonder that many Filipinos aspire to secure a Japanese visa. Recently, the Japanese Embassy announced a revised visa application process aimed at streamlining applications and managing the surge in visa requests—whether you're planning your first visit or returning to explore more. This new process will take effect on April 7, 2025.

If you’re worried about the changes—don’t be! Here’s everything you need to know about the updated process.

Then and now

Before: Visa applications were submitted through accredited travel agencies, which acted as intermediaries.

Now: Japan has introduced official Visa Application Centers (JVACs), eliminating the need for third-party agencies, making the process more direct and efficient.

  1. Prepare all your requirements

Just like in the previous process, the first step in securing a Japanese visa is to complete all the necessary paperwork. While specific requirements may vary based on the visa type, general documents include:

  • Valid passport. Signed and must have at least two blank pages. For appointment purposes, have two photocopies of your passport bio page, as well.

  • Visa application form. Duly accomplished and signed.

  • 4.5cm x 3.5cm photo. Attached in the visa application form.

  • PSA-issued birth certificate*

  • PSA marriage certificate (for married applicants)*

  • Japan itinerary. A detailed plan of activities.

  • Bank certificate. Must show ADB (Average Daily Balance) within the last six months 

  • Tax payment certificates. Form 2316 for employed applicants, and proof of actual payment of tax or Annual Income Tax Return for business owners.

  • Employment/business certificates. Certificate of Employment (COE) for employed applicants, and Department of Trade and Industry (DTI) and Mayor’s Permit for business owners. 

*Not required if you have a previously used Japanese visa in your passport.

  1. Book an appointment at an official Japan Visa Application Center (JVAC)

The Embassy of Japan has designated five official JVACs where travelers can submit visa applications. Effective April 7, 2025, all applications—whether DIY or through accredited agencies—must be submitted through these centers, operated by VFS Service Philippines Private Inc. Choose the JVAC closest to you:

  • Quezon City
    3/F Gateway Tower Mall, Araneta City, Quezon City

  • Makati City
    G/F Makati Circuit Corporate Center Tower Two, AP Reyes St. Brgy Carmona, Theater Drive Circuit, Makati City

  • Paranaque City
    3/F Parqal Mall, Building 5, Diokno Avenue corner Macapagal Boulevard, Barangay Tambo, Paranaque City

  • Cebu
    7/F Unit 9, Faustina Center, Bonifacio District, Cabahug St. Kasambagan, Cebu City

  • Davao
    2/F FES -09, Alfresco Area, Felcris Centrale, Quimpo Boulevard, Barangay 40–D, Davao

All centers operate from Monday to Friday, 7AM to 4PM. Reservations can be made through the VFS Global website. If you are DIY-ing your application, bring a printed copy of your email confirmation of your schedule on the day of your appointment.

  1. Pay the center usage and/or visa handling fees

The Japanese Embassy does not charge a fee for issuing tourist visas. However:

  • VFS Global charges a PHP 520 service fee for center usage. This can be paid online when you’re setting up your reservation or on the day of your appointment. 

  • A visa handling fee may be charged by an accredited travel agency if you seek their assistance to apply for a visa on your behalf. The fee varies per agency and visa type.

  1. Wait for processing

You’ll receive updates regarding the status of your application through email once your passport has been returned to the JVAC where you applied. If you avail of the SMS premium service, you can get updates via SMS as well. 

Your application status can also be tracked online at the VFS Global website using the reference number of the receipt issued by the JVAC, and your date of birth, for verification. 

  1. Collect your passport

Once a decision has been made, return to the JVAC where you applied to retrieve your passport with your visa.

  1. How long is the processing time to obtain a Japanese visa? 

Visa processing typically takes 5 to 21 business days, depending on the volume of applications and additional checks required. All the required documents must be submitted to the center for review to be granted a visa within this time frame. 

  1. How far in advance should I apply for a visa? 

The Japanese Embassy processes applications in the order they are received. Given the new process, it is recommended to submit an application at least 60 days before your planned travel date to account for processing time and potential delays.  

  1. May I still apply for a Japanese visa through an accredited travel agency? 

Yes, travelers still have the option of coursing their applications through a travel agent. However, agents must now book appointments and submit visa applications through the JVACs instead of directly to the consulate. Make sure that you apply through agencies affiliated with the Philippine Travel Agencies Association (PTAA) and the Philippine IATA Agents Travel Association (PIATA).

  1. If my visa application is rejected, can I reapply immediately? 

No, you cannot apply immediately for the same purpose of visit within 6 months after rejection, unless you need to travel to Japan for humanitarian reasons.
